Successful meetings

Running successful meetings can be quite a challenge whether they are routine departmental meetings, project planning, team briefings or a short notice event.  So often we hear criticism that both internal and external meetings are “a waste of time…unproductive…ego boosting…foregone conclusions”.  Why should this be? It often comes down to poor understanding of objectives, a lack of preparation by all those involved, weak facilitation and lack of relevant participation.

Worthwhile meetings need the productive and pertinent contribution of both the Chairperson and the participants. This half day course offers the opportunity for reflection and insight and explores the skills required of all those attending in order to make meetings successful and productive.


Objectives

This workshop offers delegates the opportunity for both reflection and the development of new practical skills through

  • An opportunity to reflect on the purpose and usefulness of meetings
  • Defining and understanding the different types of meeting
  • Identifying the objectives of a meeting so that you can plan and structure it
  • Managing a meeting as Chairperson
  • The skills of being an effective contributor
Course contents

Meeting myths
What kind of meeting? What’s the purpose? What are the criteria?
Defining realistic objectives for the meeting, identifying what you need to achieve  in the time available.
Who should attend?
Sorting out the agenda and timing
Your back up support- notification, supporting papers, minutes
Responsibilities as Chair – structure, setting the tone of the meeting, ground rules, time allocation.
Facilitation skills – handling difficult or dominant people, handling emotional response, using structured activities
Encouraging equal contribution, budgeting time
The etiquette required of all meeting participants
How to have your say and be heard
Reaching a consensus of opinion
Summarising, outlining next steps
Agreeing and allocating tasks
Keeping momentum and enthusiasm
Noting items for the essential minutes
